The Daily Strata Manager Productivity Plan

We asked our Strata Manager subscribers to provide some productivity hacks. We’ve hacked them into to a simple, practical checklist to help strata managers stay organised, focused, and efficient every day ensure clients are looked after.

Morning Setup (15 minutes)

  • Review your calendar and deadlines for the day.

  • Identify your top 3–5 priorities (“must do today”).

  • Scan your inbox for urgent matters flag.

  • Block out at least one hour for focused, uninterrupted work to get the important items done.

During the Day

  • Batch similar tasks emails, calls, approvals.

  • Pick up the phone for complex issues instead of engaging in long email chains.

  • Record key decisions and assign follow-ups immediately.

  • Silence notifications during focus blocks.

  • Update your task list instead of relying on memory.

  • Maintain a “Waiting On” list to track pending replies or actions.

  • Delegate clearly with written handovers.


Afternoon Wrap-Up

  • Clear your inbox to zero or flag items for tomorrow.

  • Check off completed tasks and update your tracker.

  • Review tomorrow’s meetings and set reminders.

  • Spend 10 minutes tidying your workspace and digital files.

Weekly Review (Friday, 30 minutes)

  • Review each building’s open actions.

  • Confirm key contractor and owner follow-ups.

  • Check recurring deadlines (insurance, budgets, meetings).

  • Reflect: what worked this week? What needs adjusting?
